Teams Room - Share via HDMI
Teams Room does allow for in-room sharing via HDMI, bypassing a requirement to join/start a meeting through Teams from your computer. Please review the steps below and you will be sharing from your computer in short-order.
Scroll past the Visual Aides section below to get right to the Step-by-Step instructions
Situational Examples
- You're meeting in a room, and all attendees will be physically in the room
- There's no meeting but you want to avail yourself of the much larger display in a Room
- You need to share while attending a Teams Meeting from a Room (attendees may be remote from home, jobsite and/or another office)
Basic Information
- Hardware is being delivered to offices to enable this, the list below will be added to
- Minneapolis Como
- Minneapolis Frogtown
- Minneapolis Kenwood
- Minneapolis Nokomis
- Orlando Gulf
- Rooms with two displays: only one display will show shared content
Visual Aides
- The Share button on the Room Controller

- The USB-C port or HDMI port on your laptop (some laptops have both)
- The USB-C w/HDMI Adapter (for devices without an HDMI port)
- One has been placed in all Rooms and should not be removed

Examples 1 & 2
These options do not require a Teams Meeting to be scheduled, you're basically using the Room tech to mirror your content on a larger display
- Reserve the Room as you always would, from Outlook or Teams Calendar (if not already)
- This is to avoid double-bookings and not required
- Log into your computer (if not already)
- Connect the HDMI cable (or USC-B Hub w/ HDMI) to your computer
- If the computer doesn't auto-project to the Display, tap Share on the Room Controller
- Open the document you wish to share (if it isn't already)
- When your meeting is done, disconnect the HDMI
Example 3
This option assumes a formal Teams Meeting is scheduled
- Reserve the Room as you always would, from Outlook or Teams Calendar (if not already)
- Join the Meeting from the Room Controller
- Tap "Join" from the tablet in-room
- Or tap the meeting on the calendar view, then "Join"
- Log into your computer (if not already)
- Connect the HDMI cable (or USB-C Hub w/HDMI) to your computer
- Content will auto-share to the meeting
Common Questions
-
What if I don't have meeting scheduled, I need to meet now?
- Just tap Meet now on the Controller and review steps from Example 1 & 2
-
How do I switch Sharing
- In-Room devices: unplug the first computer > plug in the second one
- Remote Attendees: they should click "Share" from the upper-right in Teams on their computer
-
What about having two, or more, HDMI enabled Rooms in a meeting?
- The second device to connect via HDMI will override the original share, every device connected after that will override the previously shared content
- Content from multiple sources cannot be shared simultaneously
